To access a list of Orientation Rosters you will require either the "Roster Access" role, or the "Roster HR Access" role. If you don't see "Roster" as a menu option in Superpunch you will need to ensure that you've had the appropriate Roster role and feature flag added to your user profile.
Once the Orientation Session has been created, you can begin to add candidates to the Orientation Session(s) by inputting their information using the +Add Candidate button, or you can import an entire roster of candidates by selecting the Import Roster File button.
To Add a Candidate to an Orientation Session using the +Add Candidate button, follow these steps:
- Log into Superpunch.
- Navigate to: HR Tools -> Roster.
- Find the corresponding Roster that you would like to add an Orientation Class to.
- Select the Open Roster icon located to the far right.
- Scroll to the section labeled "People
", and select + Add Candidate. - Fill in all applicable information in the fields listed below the "Personal Information" section:

- Enter a "First Name" (required field).
- Enter a "Middle Name(s)".
- Enter a "Last Name" (required field).
- Enter a "Email" (required field).
- Enter a "Phone Number".
- Enter a "Date of Birth".
- Enter a "Street Address".
- Enter a "City".
- Enter a "State".
- Enter a "Postal Code".
- Select a Home Location (required field).

- Fill in all applicable information in the fields listed below the "Employment Details" section:

- Select Full Time, Part Time, Less than 20 hours, or 20 hours or more.
- Enter the "Hourly Rate".
- Select an Employment Status.
- Select Yes or No for "Re-hire" (required field).
- Select Yes or No for "Is Agency Employee".

- Fill in all applicable information in the fields listed below the "Orientation Details" section:

- Select an Orientation Class.
- Enter the "Orientation Hours".
- Enter "Orientation Badge Code" (when applicable).
- Enter "Government Id Last 4 Digits (HR Only)".
- Select a Contract template.

- Once you've filled out the applicable information and have tabbed out of the last field you were in, or clicked out of the field the blue Not Saved button should turn to a green Saved at XX:XX am/pm button.
- To delete a candidate, select the Delete button, then select the Confirm Delete button in the bottom left corner of the screen.
Ensure accurate spelling of the name and all of the contact information, including the email address. All changes are automatically changed. If you need to update an individuals information select the Edit icon to the far right of their name.
The backend Superpunch process will review each candidate added to Superpunch to determine if they are potential matches who already have an existing Superpunch Account. This will help to limit duplicate Superpunch accounts.
If the user is new, a new account will be created automatically for them.
If there are potential matches, text will appear in red in the "Superpunch Account" field advising of the number of possible matches for that candidate.
Selecting the text will display a list of the possible matches, each of which can be expanded to view the particular profile information for that suggested match.
To match a profile, select the matching profile in order to merge the profiles and select Save Changes.
By default "Import Roster File" exports from ADP and imports into Superpunch. ADP is the payroll system used in the United States.
To Add an Entire Roster to an Orientation Session using the +Import Roster File button, follow these steps:
- Log into Superpunch.
- Navigate to: HR Tools -> Roster.
- Find the corresponding Roster that you would like to add an Orientation Class to.
- Select the Open Roster icon located to the far right.
- Scroll to the section labeled "People
", and select the +Import Roster File button. - Click in the "Roster File" field and find and select the roster file saved/downloaded on your computer that you'd like to import (this file must be in .csv format).
- Select the corresponding Date Format (this will be the date format that's used in your import file, all date fields in your file must use this same format).
- Select Import and all of the candidates contained in the file will now appear in the "People
" section for you.
Notes:
