To access a list of Orientation Rosters you will require either the "Roster Access" role, "Roster Reception Access" role, or the "Roster HR Access" role. If you don't see "Roster" as a menu option in Superpunch you will need to ensure that you've had the appropriate Roster role and feature flag added to your user profile.
You can only assign a candidate their Orientation Badge Code if their Orientation Roster is represented with a green calendar for current Rosters. You will not be able to assign an Orientation Badge Code if the calendar is blue for an Upcoming Roster or purple for a past Roster.
To enter a candidates Orientation Badge Code, follow these steps:
- Log into Superpunch.
- Navigate to: HR Tools -> Roster.
- Select the Open Roster icon located to the far right.
- To view the list of candidates for the selected Roster you can scroll down and click on the section labeled as People
to expand and view the list. - You can refine your results by using the drop-down menu and selecting the corresponding class in the field labeled "All Classes", or by using the "Search Candidates" search bar.
- The candidates Date of Birth is required before you can assign them their Orientation Badge Code.
-
- If the candidates Date of Birth is on file, it will be present in the "DOB" field, and you will see "Type Here" in the "Orientation Badge Code" field.
- If the candidates Date of Birth is not on file, the the "DOB" field will be blank, you will see "Badge Code" in the "Orientation Badge Code" field, and if you hover over that field, you will see a tip advising "Missing DOB".
-
- When you're ready to assign the candidate their Orientation Badge Code, simply enter it in the "Orientation Badge Code" field.
-
- The Orientation Badge Code will be different and unique for each individual. Badge Codes need to be a minimum of seven and a maximum of 20 digits.
- Please use the candidates last name plus the numbers of their year of birth, or the candidates last name plus the numbers for the month and the day of the orientation.
- If you have someone with a very short last name, you will need to a 1 (and maybe more) at the end to ensure it is long enough.
- If you have someone with a long last name more than 20 digits include the digits up to 20 and let the agent know that it has been abbreviated.
-
- Once you've entered the information, you can use the tab button on your keyboard to tab out of the field or click anywhere out of the field to save the changes. The blue "Not Saved" button will change to a green "Saved at XX:XX am/pm" to confirm that the changes were saved.
- Select the Back to List button to return to the list of Rosters.
